Privacy Policy
Effective Date: October 10, 2026 • SetPlan
1. Overview
SetPlan provides workout-programming tools for independent personal trainers. This Privacy Policy explains what information may be collected when you use SetPlan, how that information is handled, and your choices regarding your data.
2. Information We Collect
Account and Contact Information: Trainers sign in with Google. When a trainer registers, we receive from Google their name, email address and profile photo link, and we store the display name they set in SetPlan, along with account and authentication-related information. The language a trainer uses the app in is not saved as an account setting; it is remembered in a cookie in their browser (see section 9), and is noted in the product usage records described below. When you contact us, we receive your message and email address.
Trainer Branding: A trainer may add a logo and choose an accent colour for their client program links and PDFs. We store the chosen colour and the logo with the trainer’s account. The logo is saved as a new image file made from the one uploaded, so information embedded in the original file (such as where or with what device it was made) is not kept. A trainer’s display name, logo and colour are shown to anyone who opens one of that trainer’s client program links or PDFs. The logo image is delivered from a web address that appears in those program pages and can be opened by anyone who has it.
Optional Questions About How You Work: After a trainer first signs in, SetPlan may ask a few optional questions about how they work, such as whether they train in person or online and roughly how many programs they write. Answering is optional. Any answers, and the fact that the questions were shown, are stored with the trainer’s account, are not shown to clients, and are used only as described under Product Usage Records below.
Program and Client Information Entered by Trainers: Trainers input workout routines and exercise parameters (sets, reps, weights, rest times, coaching notes). For each client, the trainer enters a name, sets the language of that client’s program link, and may add a phone number, age, goal and a private note. The goal and note fields are free text, and the trainer decides what to write in them. Clients do not create accounts.
Client Workout Usage and Weight Logging Data: When clients access their published program link, they may record working weights directly on the page so their entries remain available with the program and are visible to their trainer.
Product Usage Records: To understand whether SetPlan is working for trainers and to improve it, we keep a small record of certain actions, linked to the trainer’s account: the days on which a trainer used the app (with the app language, whether it was opened in a browser or as an installed app, and whether the device was a phone, tablet or computer); when a program is updated; when publishing a program was not possible; when a PDF is generated; and when a client’s program link is opened or a weight is logged on it. These records identify the trainer’s account and, where relevant, the program. They do not include client names or contact details, the weights themselves, program content, link addresses, IP addresses, or any device or advertising identifier. We keep them in our own database, look at them together with the optional answers described above, and do not send them to an analytics or advertising provider.
Purchase Information: Purchases are processed by Paddle (see section 5). We keep a record of what was purchased, the credits and subscription status that resulted, and Paddle’s identifiers for the customer, transaction and subscription, together with the notifications Paddle sends us about them. We do not receive or store full card details.
Technical and Infrastructure Information: Infrastructure and hosting providers may automatically process standard technical information required to operate and secure the service. When something in SetPlan fails, technical details about the error are sent to our error-monitoring provider (see section 4).
3. How Information Is Used
Information is used solely to provide, support, maintain, and improve the SetPlan service, specifically to:
- Generate and display mobile-friendly workout program links
- Store and display client-recorded working weights
- Show a trainer’s name, logo and colour on their clients’ program links and PDFs
- Manage trainer accounts and credit balances
- Respond to customer support requests and operational inquiries
- Maintain service availability, troubleshoot technical issues, and protect system security
- Understand how SetPlan is used, in order to maintain and improve it
4. Service Providers and Subprocessors
We work with third-party service providers, who process data to deliver their services, subject to their terms and privacy practices or our instructions where applicable:
- Supabase — database, sign-in and file storage infrastructure
- Vercel — application hosting
- Google — sign-in (Google account authentication)
- Paddle — payments, as Merchant of Record (see section 5)
- Sentry — error monitoring (see below)
- Cloudflare — hosting of exercise demonstration media
Depending on the provider and service, data may be processed in locations outside your country, including Singapore, the United States and the European Union.
We use Sentry, an error-monitoring service, to detect and diagnose technical errors. When an error occurs, Sentry receives technical details about it — such as the error message, the page it occurred on (with program-link identifiers removed), the browser type, and the app version and language — and, for a signed-in trainer, an internal account identifier. We configure it to exclude names, email addresses, program content, client information and payment details, and not to store IP addresses.
5. Payments
Paddle.com Market Ltd ("Paddle") is the Merchant of Record for SetPlan purchases. Paddle collects and processes the payment, billing and tax information needed to complete a purchase, and handles that information under its own privacy notice. We send Paddle your account email address so that your checkout can be prefilled, and an internal account identifier so that a purchase can be matched to your account.
6. We Do Not Sell Personal Data
SetPlan does not sell, rent, monetize, or trade personal data or client training information to third parties for advertising or commercial marketing purposes.
7. Data Retention and Account Deletion
We retain account and program data for as long as the trainer keeps their SetPlan account. A trainer can delete their account at any time from the Account screen in the app (Account → Delete account), or by asking us as described below.
Deleting an account is immediate and permanent. We delete the trainer’s sign-in account and profile, including any logo they uploaded, their clients and everything entered about them, all programs, drafts, templates and published program snapshots, client links, the weights clients logged, custom exercises, the product usage records linked to the account, and the trainer’s credit and subscription records in SetPlan. Client links stop working immediately. Before the account is deleted, an active Unlimited subscription is cancelled so that no further payments are taken.
We keep a limited record of payments after an account is deleted, for accounting, tax, and payment-dispute purposes: transaction and subscription identifiers, amounts, dates and what was purchased. We remove the trainer’s name, email address and payment details from these records. We also keep a record that the account was deleted, and when. Paddle keeps its own records of purchases as Merchant of Record, under its own privacy notice.
A trainer can remove or replace their logo at any time from the Account screen. A logo that is removed, or deleted with its account, is deleted from our storage at that time. When a logo is replaced, the previous file is deleted as part of the replacement or, at the latest, when the logo is next changed or the account is deleted. A copy already delivered may be served from short-lived caches for a few minutes afterwards.
Deleted data may remain in routine backups for a limited period until those backups are replaced. Error reports are kept by our error-monitoring provider for a limited period and then deleted. Items stored in a browser (see section 9) stay on that device until they are cleared. Deleting an account signs the device used to delete it out and clears the trainer’s saved app data there; the language preference cookie, and anything on other devices, stays until it is cleared or expires.
8. User Rights and Requests
Trainers and clients may request access to, correction of, or deletion of their personal information, subject to applicable legal, security, operational, and retention requirements. Because client workout links are generated directly by the trainer, clients may also contact their trainer regarding data associated with their specific workout plans.
Trainers can delete their account themselves in the app (Account → Delete account), which asks them to sign in with Google again unless they did so in the last few minutes. They can also make any request by emailing us at the address below from the email address of their SetPlan account and saying what they would like us to do. Before acting on it, we will ask you to confirm the request through your signed-in SetPlan account. If you have an active Unlimited subscription and ask us to delete your account, we will make sure the subscription is cancelled so you are not billed again.
Clients of a trainer do not have SetPlan accounts. You can contact your trainer, or email us at the address below. Before acting on a request, we may ask for enough information to identify the records it concerns safely, and we may involve your trainer. If your trainer deletes their SetPlan account, your program link stops working and the information your trainer entered about you, and the weights you logged, are deleted with it.
We will respond within the time required by applicable law.
9. Cookies and Similar Technologies
SetPlan uses essential cookies to keep trainers signed in and to remember a language preference. The app also stores a few settings in your browser’s local storage, such as recently used exercises and, on a client’s program link, which exercises were checked off that day. On the Account screen, SetPlan loads Paddle’s checkout script to show prices and to open checkout; it is provided by Paddle under its own privacy and cookie notices. SetPlan does not currently use advertising or analytics cookies. The product usage records described in section 2 are kept in our own systems and do not use cookies or anything stored in your browser.
